This is a Sales and Events Coordinator positions. As the Sales and Events Coordinator you will be assisting the Director of Sales. Your job will be to ensure that all administrative duties and sales correspondence is provided on a timely basis. Duties will include but not limited to maintaining guest and meeting room blocks, billing procedures, trace details and any other necessary arrangements is recorded correctly in the system prior to arrival, maintain constant contact with the client while developing a rapport with the client, trace all details, conversations, and contract details in the Isaac, Lightspeed, and Galaxy systems. Type up contracts for any bookings and events, and maintain those contracts with a separate trace system. With the help of the Accounting Department, ensure all billing and deposit procedures are made clear and enforced with clients and traced for accuracy. Group, guest, and VIP requests, rooming lists, upgrades, changes, bookings, and cancellations, are made clear in contracts, reviewed with groups, vendors, and clients, are kept in a trace system, follow-up on a necessary basis, (weekly and monthly). Confirmation and cancellation numbers are mailed, emailed and phoned to the groups or clients and recorded within the trace system.
Enter, retrieve, reconcile, and verify information (e.g. commissions, leads, third parties) in software involved in the sales process.
Detail events to include all food beverage, set up and audio visual needs. Ask appropriate questions of the clients and make suggestions to ensure the details meet the group and hotel needs.
Create group resumes, BEOs and communicate client needs to all Departments of the hotel. Ensure hotel staff folios through on all requests.
The Sales and Events Coordinator will be the point person for groups and events and must maintain communications with all departments involved via weekly meetings and daily emails.
Daily verbal and written communications with the Director of Sales and General Manager are a must.
Must be computer literate.
Must be able to clearly write, type, and verbally communicate the English language.
Must have clear understanding of grammar of the English language.
Must be able to communicate to Director of Sales and General Manager at any time, via phone, cell phone and internet.
Must be able to organize and file paperwork.

Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by managers.
